How to use ChatGPT for your small business

Treat ChatGPT, Gemini, Meta AI, Copilot or Claude as a capable new helper who knows nothing about your business. Brief it with your real facts, such as your town, prices and customers, and it will draft replies, descriptions and plans in seconds. Check every price, date and promise before anything reaches a customer, and never paste in a customer's details. The free plans are enough to start.

Most people meet ChatGPT the same way. They type a short question, the way they would into Google, and get back a smooth, confident answer that somehow does not fit. The prices are in dollars, the advice assumes a shop in another country, and the reply to a customer promises things the business has never offered.

From there, people go one of two ways. Some decide AI is overrated and close the app. Others copy the answer as it stands, and a customer reads a promise nobody meant to make. Both are reasonable reactions to a bad first answer, and both miss what the tool is for.

An AI assistant is closer to a capable new helper on their first morning than to a search engine. It writes quickly and well, and it knows nothing about your shop, your town, your customers or your prices. Brief it the way you would brief that helper, check its work the way a manager would, and it will save you hours every week. This guide shows how, with one small business as the example.

Why the first answer disappoints

An assistant writes the most likely answer to the words it was given. Ask "reply to a customer about delivery" and the most likely reply is the one a typical online shop anywhere might send, which is rarely a shop in Kisumu or Kaduna. So it reaches for free delivery, a minimum order in dollars and a few business days, because that is what such a reply usually says.

It does not say "I do not know your delivery fee". It fills the gap with something plausible, in the same confident tone it uses for things that are true. That habit has a name, hallucination, and it is the single most important thing to understand about these tools. It is also why our guide to whether AI can build your website starts with the guesses an AI builder makes.

Take a hardware shop in Kisumu, our example for the rest of this guide. A customer asks on WhatsApp whether the shop can deliver cement to Kondele today. The picture shows the same request asked two ways.

Two drawn chats. Asked like a search box, "reply to a customer about delivery" gets a reply promising free delivery on orders over 50 dollars in 3 to 5 business days, all invented. Briefed with the shop, the town, the fee of KES 300 and the 2pm cut-off, the assistant writes a short reply that is correct and ready to send.
The second request takes thirty seconds longer to type, and the reply needs no fixing.

Nothing about the tool changed between the two. The only difference is what the owner told it.

Brief it like a new helper

A good brief has five parts, and you already know all of them. Each closes a gap the assistant would otherwise fill with a guess.

  1. Who you are. "I run a hardware shop in Kisumu. Most customers are builders and order on WhatsApp."
  2. The task. "A customer asks if we can deliver cement to Kondele today."
  3. Your facts. "Delivery to Kondele is KES 300. Same day if paid by 2pm."
  4. The shape of the answer. "A short, friendly WhatsApp reply in simple English."
  5. Your check. Before you send it, read the price, the time and the promise against what you can really do.

The first and third parts are where most of the value is. Write one paragraph about your business once, with your town, your customers, your main products and prices, your delivery areas and your opening hours, and keep it in a note on your phone. Paste it at the start of any request about the business. Every answer improves at once, because the assistant stops guessing.

Hallucination. A confident answer that is false, such as an invented price, delivery time, law or reference. Assistants do it whenever you leave a gap, so the cure is to leave fewer gaps and to check what comes back.

The fifth part is not a sentence you type. It is the habit that makes the other four safe. A helper on their first day can write a good message and still get the price wrong, and so can an assistant on its thousandth.

The jobs worth handing to AI in a small business

Once you brief it properly, an assistant earns its place on four kinds of work.

Talking to customers. Draft replies to the questions you answer every day, such as delivery, prices, opening hours and returns, check them once, and save the good ones as quick replies in WhatsApp Business. Ask it to write product descriptions for a catalogue or a price list from facts you give it, never from its own idea of what the product is.

Paperwork. Turn rough notes into a clear notice, a staff rota or a simple returns policy. Ask it to explain a supplier contract or an official letter in plain words, so you know what to ask a professional about, before you sign anything.

Numbers. It is good at writing spreadsheet formulas, for example to add up the day's sales by payment method, and at preparing you for a meeting with a bank or a SACCO by listing the questions they may ask and the figures to bring. It is bad at arithmetic in its head, so let the spreadsheet do the sums.

Language. It can draft a first translation of a notice into Swahili or another language, for a fluent speaker to check and correct. Our guide to why AI struggles with African languages explains why the check matters more in some languages than others.

Is ChatGPT free? Which assistant, and what it costs

It is the question behind much of the searching: "chatgpt kenya" alone is searched about 2,900 times a month in Kenya (Google Keyword Planner, read 9 October 2026). The answer is yes. Every major assistant has a free plan, and for most small businesses one free plan used well is enough. ChatGPT, Gemini, Copilot and Claude are all strong at writing and planning. Meta AI sits inside WhatsApp, Facebook and Instagram, which is convenient if your customers already reach you there: Meta launched it in English in Nigeria, Ghana, South Africa, Uganda, Zambia, Zimbabwe and Malawi in April 2024 (Bizcommunity, 22 April 2024, WhatsApp).

If you outgrow a free plan, there is now a cheaper paid step. OpenAI brought its ChatGPT Go plan to the region in October 2025, at a reported ₦7,000 a month in Nigeria and R150 a month in South Africa (TechCabal, 23 October 2025, Stuff, 15 October 2025). Prices change, so check the pricing page or the app for today's price in your currency.

The best test is your own work. Give two assistants the same brief for the same task, and keep the one whose answers you edit least. Pay only when you hit a limit you feel every week.

What never to hand over

The rule that matters most is about other people. When you paste a customer's name, phone number, address or payment details into an assistant, you copy them to a company's servers, usually in another country, and you can no longer control who sees them or how long they are kept. Every one of the seven countries we cover has a data protection law that applies to exactly this. Our guide to data protection laws and AI sets out the rules.

You almost never need the details to get the help. Take the person out, describe the situation, and the reply is just as good.

A drawn chat in two versions. The first, marked do not paste, names a customer and gives her phone number, address and the amount of her failed mobile money payment. The second, marked paste this instead, describes only a customer whose mobile money payment for 10 bags of cement failed twice.
The assistant needs the situation, not the person.

Four more things stay with you. Passwords, PINs and bank details never go into any tool. Final numbers, such as a total, a quotation or a price list, are recalculated by you or a spreadsheet, because assistants make arithmetic mistakes with complete confidence. Legal, tax and medical decisions are made with a qualified person, after the assistant has helped you understand the question.

And anything you cannot check, you cannot use. If you cannot tell whether an answer is right, it is not ready to leave your phone. The withdrawal of South Africa's draft AI policy shows what unchecked AI text can cost even a government.

If you cannot tell whether an answer is right, it is not ready to leave your phone.

A week to make it a habit

Skills stick when they are used on real work. Here is one week that turns the advice above into a routine.

  1. Day one: write your business paragraph and save it in a note on your phone.
  2. Day two: pick the three customer questions you answer most and draft replies with the assistant. Check them and save them as quick replies.
  3. Day three: give two assistants the same task and keep the one you edit least.
  4. Day four: ask it to turn your messiest piece of paperwork into something clear.
  5. Day five: agree one rule with everyone who works with you: no customer details in AI tools.
  6. Then keep going: every time an answer is wrong, add the missing fact to your business paragraph.

By the end of the week the assistant will know your business as well as your paragraph does, and you will know where it can be trusted and where it needs you.

Questions people ask

Yes, ChatGPT has a free plan. A cheaper paid plan, ChatGPT Go, was launched in Africa in October 2025, and the Plus and Pro plans cost more. Check the app for the current price in your currency.

The one you will use every day. ChatGPT, Gemini, Copilot and Claude are all strong at writing and planning, and Meta AI is convenient inside WhatsApp where it is available. Try two on the same task and keep the one whose answers you edit least.

Meta's April 2024 launch in Africa named Nigeria, South Africa, Ghana, Uganda, Zambia, Zimbabwe and Malawi. If you do not see it in your WhatsApp, use another assistant in a separate app.

General facts about your business, products and prices are usually fine. Never share customer details, passwords or bank information, and check the tool's settings to stop your chats being used for training where that option exists.
